TECHHELP is the data controller for the personal information we collect directly from customers for repair, sales, warranty, delivery, support and administration purposes.
1. Our privacy promise
We take customer privacy seriously.
When you bring or send a device to TECHHELP:
- we do not sell customer information;
- we do not browse personal files, photos, messages, documents or apps during standard repairs;
- we do not copy, transfer, recover or move personal data unless you specifically ask us to do so;
- we do not use customer information for third-party marketing;
- we only collect information needed to quote, repair, test, return, invoice and support your device;
- we keep repair records so we can manage the repair, provide warranty support and maintain service history.
Most hardware repairs do not require access to your personal content.
2. Information we collect
We may collect the following information depending on the service you request.
Customer contact details
This may include:
- name;

- diagnostic notes;
- parts fitted;
- repair status;
- warranty notes;
- photos of the device or visible fault, where needed;
- quote, invoice, receipt and payment status.
Device identifiers such as IMEI and serial number are recorded to help identify the correct device, track the repair, prevent mix-ups, provide warranty support and keep accurate repair records.

When you pay for a repair, product or service, we may record:
- order or invoice number;
- repair/product purchased;
- amount paid;
- payment status;
- payment reference;
- refund or chargeback information, where relevant.
Payments are processed using Square. TECHHELP does not intentionally store full card numbers or CVV codes in repair notes or customer records. Square’s own privacy notice explains that it processes payment, transaction and customer information for its payment services.

If we post or return a device or part, we may collect and share delivery details such as:
- recipient name;
- delivery address;
- phone number or email, where needed for delivery;

3. Why we use your information
We use customer and device information for the following purposes:
- to respond to enquiries;
- to provide quotes;
- to create and manage repair tickets;
- to identify your device correctly;
- to diagnose faults;
- to carry out repairs;
- to test the effectiveness of a repair;
- to contact you about repair progress;
- to take payment;
- to issue invoices and receipts;
- to return devices by post or courier;
- to manage warranty claims;
- to keep repair history and service notes;
- to handle complaints or disputes;
- to comply with accounting, tax and legal obligations;
- to protect our business, customers, staff and systems.
4. Legal basis for using your information
Under GDPR, we must have a legal basis for processing personal information. The main legal bases we rely on are:
Contract
We use your information where it is necessary to provide a quote, repair, product, delivery, warranty or support service you requested.
Legal obligation
We may keep certain records to meet accounting, tax, consumer law, warranty, fraud-prevention or legal requirements.
Legitimate interests
We may process information for legitimate business purposes such as repair record keeping, customer service, warranty handling, security, fraud prevention, dispute handling and improving our services.
Consent
Where required, we will ask for your consent. This may apply to optional marketing, certain data recovery work, data transfer work, or situations where you specifically ask us to access, copy, recover or move personal data.
You can withdraw consent where consent is the legal basis for processing.
5. Why we may ask for your PIN or password
Most repairs do not need your PIN or password.
In some cases, we may ask for a PIN, password or temporary access code so we can:
- confirm that the repair was successful;
- test the effectiveness of the repair;
- check charging, display, touch, sound, camera or other functions;
- calibrate or program a replacement part;
- make sure the replacement part is recognised correctly by your device;
- access system settings or repair-related software options needed for testing.
When we use a PIN or password, it is used only for repair-related testing, calibration or system settings. We do not use it to browse your personal files, photos, messages, apps, emails, banking apps, documents or account content.
Where possible, we recommend creating a temporary passcode for repair testing and changing it after the repair is complete.
6. Data recovery, data transfer and software work
Standard hardware repairs are not intended to access personal content.
If you ask us to carry out data recovery, data transfer, backup, software restore, account-related support or migration work, this may involve access to personal data on your device.
In those cases:
- we will explain the work before proceeding;
- we will only access data needed for the requested service;
- we will not copy or transfer personal data unless you ask us to;
- we will not keep copies of recovered or transferred data unless agreed for a specific reason;
- we may ask you to confirm the scope of the work in writing.
7. RepairShopr and repair records
We use RepairShopr to help manage customer records, repair tickets, estimates, invoices, communication and repair workflow.
The information stored in RepairShopr may include your name, contact details, device details, repair notes, diagnostic notes, estimate/invoice details and warranty history.
RepairShopr’s privacy policy states that it does not sell personal information and that it may share information with service providers where needed to operate its service. It also notes that information may be transferred outside the EEA/UK, with controls intended to protect personal information.
8. Who we share information with
We only share personal information where needed to provide our services, run our business, comply with legal requirements or protect our rights.
We may share limited information with:
- RepairShopr, for repair ticketing, customer records, estimates and invoices;
- Square, for card payment processing;
- An Post, for delivery, tracking and returns;
- website hosting and IT service providers;
- email, messaging or communication providers;
- accounting or bookkeeping providers;
- professional advisers such as accountants, insurers or legal advisers;
- fraud prevention, payment dispute or chargeback services, where relevant;
- law enforcement, regulators or public authorities where required by law.
We do not sell customer information.
We do not share customer information with third parties for their own marketing.
9. International transfers
Some service providers we use may process or store data outside Ireland or outside the European Economic Area.
Where this happens, we expect those providers to use appropriate safeguards, such as contractual protections, security controls or other transfer mechanisms required under data protection law.
This may apply to cloud-based service providers such as RepairShopr or Square.
10. How long we keep information
We keep personal information only for as long as needed for the reason it was collected.
We may keep repair and customer records for:
- repair administration;
- warranty support;
- service history;
- accounting and tax records;
- dispute handling;
- fraud prevention;
- legal or insurance purposes.
Typical records we may keep include repair tickets, device identifiers, invoices, payment status, parts fitted, warranty notes and customer contact details.
Recommended live wording:
Repair, invoice and warranty records are normally kept for up to 6 years, unless a longer period is needed for legal, accounting, warranty, dispute or regulatory reasons.
Data recovery files, temporary backups or transferred data should not be kept longer than necessary for the agreed job and should be deleted once the service is complete, unless the customer specifically agrees otherwise.
11. How we protect information
We use reasonable technical and organisational measures to protect customer information, including:
- limiting access to staff who need it for repair or administration;
- using repair-management systems with account access controls;
- keeping repair records in controlled systems;
- using payment providers rather than storing full card details ourselves;
- using secure communication where practical;
- keeping devices and customer records handled through an organised repair workflow.
No system can be guaranteed completely secure, but we aim to protect customer information from unauthorised access, loss, misuse or disclosure.
12. Customer devices and personal content
A device may contain private personal information. Our repair process is designed to avoid unnecessary access to that information.
For standard repairs, we do not browse:
- photos;
- messages;
- emails;
- documents;
- banking apps;
- social media apps;
- passwords;
- private folders;
- work files.
If a repair requires testing after completion, we aim to use system settings, diagnostics, test calls, test charging, test display/touch functions or customer-approved methods wherever possible.
If you are concerned about privacy before repair, you can contact us first to discuss options.
13. Business and school devices
For business, school or organisation-owned devices, we may record additional information such as:
- organisation name;
- approved contact person;
- VAT or billing details;
- purchase order or job reference;
- asset tag;
- device serial number;
- repair authorisation notes;
- warranty notes.
If a device contains business, school, medical, regulated or confidential data, please tell us before repair so we can agree the repair scope and handling requirements.
14. Marketing communications
We may contact you about your repair, quote, invoice, warranty or service request.
We will only send marketing messages where we have a lawful basis to do so. Where consent is required, we will ask for it.
You can opt out of marketing messages at any time.
We will not sell your details to third parties for marketing.
15. Cookies and website analytics
Our website may use cookies and similar technologies to:
- make the website work correctly;
- remember cart or checkout information;
- support WooCommerce functionality;
- improve website performance;
- understand how visitors use the website;
- protect the website from misuse.
Some cookies are necessary for the website to function. Optional analytics or marketing cookies should only be used where permitted by law and, where required, with your consent.
Please see our Cookie Policy for more details.
16. Your data protection rights
Under GDPR, you may have the right to:
- ask for a copy of your personal information;
- ask us to correct inaccurate information;
- ask us to delete information, where applicable;
- object to certain processing;
- ask us to restrict processing;
- request data portability, where applicable;
- withdraw consent where processing is based on consent;
- lodge a complaint with the Data Protection Commission.
